Withdrawal Policy (for individual courses and entire term)

Engineering students may be placed on administrative probation (and/or progress contract) based on the failure to complete 15 degree applicable units per quarter (with a minimum of six units of major/support coursework) and 45 degree applicable units during an academic year (with the requisite number of major/support units each quarter). It is very important that students understand that these are minimum requirements. Engineering students under contract should carefully review their contract conditions before requesting a course withdraw. Engineering students should be aware that an approved course withdraw (or term withdraw) does not necessarily waive them from the completion of minimum progress requirements as outlined under the Academic Expectations section of this website (students wanting to confirm their status should e-mail the Assistant Dean, Stacey Breitenbach, after meeting with an academic advisor within the Advising Center). All students requesting to withdraw from a course (or from the term) should see an academic advisor within the Advising Center so their academic status can be checked and their documentation reviewed. It is important not to wait until the last day to withdraw since it will be too late to gather additional documentation if needed.

Remember, failing a course is not considered a serious and compelling reason or emergency reason to withdraw from a course. Also, forgetting to drop a course during the drop period is not considered a serious and compelling or emergency reason to withdraw.

Procedure to Withdraw prior to the end of the seventh week for Serious and Compelling Reasons
These policies apply to AERO, BMED, CE, CPE, CSC, EE, ENVE, ENGR, IME, MATE, or ME courses.

Pick up a withdraw form from the Records Office (01-222).

Fill out the withdraw form completely. Make sure you include your phone number or current e-mail address.

Submit an attachment that answers the following questions:
  1. What is your serious and compelling reason to withdraw?
  2. How did your situation change from the drop period until now? Your documentation should confirm this change.
  3. Have you withdrawn from previous courses at Cal Poly? If so, please list and briefly explain the reason for each previous withdrawal.
  4. Are you passing this course?
  5. Are you on academic/administrative probation?
  6. Attach a copy of your Poly Profile from the portal and indicate how many degree applicable units you have completed for each academic year that you have been enrolled at Cal Poly. (College of Engineering students only)
  7. Attach a three quarter plan of what you plan to take for the next three quarters. (College of Engineering students only)
Obtain your instructor's signature. If your instructor refuses to sign the form, it is very unlikely your withdraw request will be processed. (not required for term withdraws)

The Advising Center will provide the advisor's signature. (not required for term withdraws)

The Advising Center will provide the department chair's signature.

All students must meet with an academic advisor within the Advising Center in order to review the paperwork. It is at this time that additional documentation may be required (which is why it is not a good idea to wait until the last minute to submit your paperwork). Approved withdraw requests will be mailed to the Records Office. Disapproved withdraw requests will be kept in the Advising Center.

Until you have verified your form has been approved, you should continue to attend the course(s).
Procedure for Emergency Withdrawals from the end of the 7th week through the 10th week
The College of Engineering does not approve very many requests to withdraw due to emergency conditions. Requests that are based on serious and compelling reasons that should have been filed prior to the end of the seventh week will not be approved as an emergency withdrawal. All emergency withdrawal paperwork and appropriate documentation needs to be submitted to the Advising Center (individual course withdrawals must have the instructor's signature) no later than 3 PM on the last day of the 10th week of instruction in order to allow enough time for processing. Engineering students under contract need to realize that an approved withdraw will not waive them from meeting the progress terms of their contract (students wanting to confirm their status should e-mail the Assistant Dean, Stacey Breitenbach, after meeting with an academic advisor within the Advising Center).

  3. Have you discussed the possibility of receiving incompletes from your instructors (if you are under a contract, incomplete grades could mean you will not meet the progress part of your contract)?
  4. Have you withdrawn from previous courses at Cal Poly? If so, please list and briefly explain the reason for each previous withdrawal.
  5. Are you passing this course?
  6. Are you on academic/administrative probation?
  7. Attach a copy of your Poly Profile from the portal and indicate how many degree applicable units you have completed for each academic year that you have been enrolled at Cal Poly. (College of Engineering students only)
  8. Attach a three quarter plan of what you plan to take for the next three quarters. (College of Engineering students only)

The Advising Center will secure the Assistant Dean's signature. All students must meet with an academic advisor within the Advising Center in order to review the paperwork. It is at this time that additional documentation may be required. Please allow plenty of time to prior to the deadline in case additional documention is required. Withdrawal requests will not be considered after 3 PM on the final day of classes. Approved withdrawal requests will be walked to the Records Office. Disapproved withdrawal requests will be kept in the Advising Center.

Until you have verified your form has been approved, you should continue to attend the course(s).
